What we hear from charities

Challenges we see

We hear these from community health services, campaign teams and small charities alike.

Sensitive service journeys

Someone booking a rapid test or a support appointment wants discretion, clear information and few steps. A confusing form or unclear confirmation can be the reason they do not come back.

Privacy and trust

Health and support services often handle special category data under GDPR. Forms, emails and texts should collect only what is needed and keep it from anyone who does not need it.

Orders, donations and dispatch scattered

Merchandise is ordered in one place, donations are taken in another, and dispatch details are copied into a spreadsheet by hand. Supporters wait for confirmation while the office chases gaps.

Small teams and volunteer-light admin

A few staff and part-time volunteers run services, events and campaigns. Every manual step, from confirming appointments to answering the same email, takes time from frontline work.

Services and fixed-scope offers

How we help

Many charity websites already run on WordPress, so we usually build inside the site you have. Every system we build comes with the training your staff and volunteers need to run it.

Appointments

Appointment booking inside your existing website, built with tools such as Gravity Forms or LatePoint. Slots and days you control, SMS or email confirmations, phone verification and follow-up surveys.

Websites and portals

WordPress and WooCommerce builds where supporters order, donate and get confirmation in one journey, and your office team receives dispatch details without re-keying anything.

Accessibility

Not sure where to start? Book a free 30-minute call with Philip and we will point you to the right first step for your organisation.

Training

Practical sessions on AI tools, Microsoft 365 and digital marketing, with an AI use policy that reflects how sensitive your data is.

Work with HIV Ireland

Two projects for HIV Ireland show how we approach sensitive services and campaign orders.

MPOWER at HIV Ireland

Laptop showing the MPOWER rapid test booking page

A booking system inside the existing website, with slot and day-of-week control, SMS confirmation, SMS phone verification and a post-appointment survey. Outcome: less manual admin and more control of testing availability.

HIV Ireland

Supporters order a GlowRed pin, add their details, donate and get confirmation in one journey. The office team receives dispatch details, and it works for individuals and organisations.

Compliance notes

  • Data protection: health information is special category data under GDPR. We collect the minimum, agree access and retention with your data protection officer, and document how the system handles personal data. Decisions on lawful basis stay with you and your adviser.
  • Accessibility: if your website sells products or takes bookings from the public, ask your adviser whether the European Accessibility Act (applying in Ireland since 28 June 2025, S.I. No. 636 of 2023) covers it.
  • AI literacy: Article 4 of the EU AI Act (applying since 2 February 2025, amended in 2026) expects organisations that use AI to take measures to support the AI literacy of the people using it, often including volunteers.

Common questions from charities

Can appointment confirmations go out by text?

Yes. The MPOWER booking system sends an automated SMS confirmation, verifies the phone number by SMS and sends a short survey after each appointment.

Can supporters order and donate in one checkout?

Yes. The GlowRed portal lets supporters order a pin, add their details, donate and get confirmation in one journey. It works for individuals and organisations.

Can we collect feedback after a service?

Yes. MPOWER sends a short SMS survey after each appointment, which gives the team feedback without extra admin. The same approach works for clinics, workshops and support sessions.

Can our team change availability without a developer?

Yes. We build booking systems so your team controls which slots and days are open. That control was one of the main outcomes for MPOWER.

Will it work with our existing website?

Usually. The MPOWER booking system was built inside the existing website, so people book without leaving a site they already trust.

How do you keep the system secure after launch?

Our Website and Systems Care Plan covers updates, backups, security and uptime monitoring, plus time for small changes.

Do you only work with health charities?

No. Our named case studies are with HIV Ireland, but the same booking, order, accessibility and training work suits any charity, community group or non-profit that serves the public.

Can volunteers be trained alongside staff?

Yes. Sessions can mix staff and volunteers, and we pitch the content at the tools people actually use, such as Microsoft 365, ChatGPT or Gemini. Attendance records cover everyone who took part.

What should go into a charity’s AI use policy?

Which tools staff and volunteers may use, what information must never be entered into them, and who checks AI-written content before it is published or sent. We provide a template and train your team on it.
